ORPP conducts records appraisal,charts road to records management automation

The Office of the Registrar of Political Parties (ORPP) has successfully concluded its records appraisal and disposal exercise, marking a significant milestone in the implementation of the ORPP Records Management Policy. The activity brought together the Records Department, the Kenya National Archives and Documentation Service (KNADS) technical team, senior management, and departmental representatives for a comprehensive review of institutional records in line with legal and regulatory requirements.

During the session, the Registrar of Political Parties, Mr. John Cox, commended all participants for their dedication throughout the exercise. He expressed satisfaction in engaging directly with the Records Department and applauded the passion and professionalism demonstrated by the team.

This appraisal exercise has enriched my understanding of our records processes and underscored the critical role they play in accountability and institutional memory. As ORPP, we must now move with speed toward fully adopting the Electronic Document and Records Management System (EDRMS), which is no longer optional but a necessity for effective service delivery,” he stated.

The Registrar further assured the KNADS experts of continued collaboration, adding that ORPP is committed to strengthening its records governance frameworks in future phases of the programme.

The Assistant Registrar C.S Agatha Wahome echoed similar sentiments, appreciating KNADS for their technical guidance and professionalism. She noted that the progress made in creating a comprehensive records inventory was commendable and affirmed management’s readiness to support subsequent steps, including budget considerations for the EDRMS.

She encouraged the Records Department to continue prioritizing the gradual digitization of records, expressing particular interest in the governance records section. She also acknowledged departmental needs and committed that management would offer all possible support within its operational capacity.

The Senior Records Management Officer, Mr. Saqib Kazungu, also lauded the successful disposal activity, emphasizing its importance in strengthening ORPP’s records governance.

“We appreciate the Kenya National Archives and Documentation Service for liaising with ORPP to manage the archival process in accordance with the law,” he said. He further noted that proper appraisal ensures retention of valuable records while enabling the safe disposal of documents that have exceeded their retention periods.

Representing KNADS, Director Marcella Bosibori appreciated the exercise and underscored the value of sustained engagement between the two institutions.

“This collaboration is vital in promoting best practices in public sector records management. We encourage ORPP to continue implementing the recommendations in this report, as they will significantly enhance compliance and preservation of institutional memory,” she remarked.

She also outlined KNADS’ legal establishment, mandate, key milestones, and core functions, affirming their commitment to supporting institutions in building robust archival and records management systems.

The appraisal and disposal exercise reaffirmed ORPP’s commitment to proper records management, adherence to national archival standards, and continuous improvement of its internal systems. The institution looks forward to enhanced efficiency, strengthened accountability, and improved service delivery as it advances its records modernization journey.
